If you contact us or book an appointment through our website, you may provide your name, email address, phone number, and any message or booking details.

How we use this information
We use this information to respond to your enquiries, manage bookings, and — where you’ve agreed to receive it — send you marketing communications. We rely on our legitimate interest in running our website and business, or your consent where required, such as for marketing.

We use third-party providers to host our website and manage bookings, enquiries, and marketing communications on our behalf. Where any provider is based outside the UK, we ensure appropriate legal safeguards are in place to protect your information. We do not sell or rent your information to third parties.

Part 2 – Your Care With Us
What we collect
To provide your care, we collect your contact and payment details, medical history, treatment notes, consent records, movement assessment imagery (such as footage from our Health:fit Scan service) any other health information you or your Practitioner provide during your care.
Why we collect it, and our legal basis
We collect this information to assess, treat, and provide ongoing care to you. Because this includes health information, UK GDPR requires us to rely on a specific legal basis: we process it as necessary for the provision of health or social care by a professional under a duty of confidentiality. We also rely on our contract with you and, where relevant, our legitimate interest in running the Clinic — for example, referring to a debt recovery agency for unpaid balances. If you don’t provide accurate health information, we may be unable to treat you safely.
Note-taking technology
As set out in our Terms & Conditions, we use secure, healthcare-specific AI-assisted transcription software to help produce clinical notes. This is used solely for your care, is never used to train AI models, and you may ask your Practitioner for manual note-taking instead.
Who we share it with
Your information may be shared with: other Practitioners at the Clinic involved in your care; third parties you’ve asked us to liaise with (such as your GP, a consultant, or a coach), only with your consent; the secure software providers we use for clinical records and note-taking; and a debt recovery agency, if a balance remains unpaid. Where any provider is based outside the UK, we ensure appropriate legal safeguards are in place to protect your information. We do not sell your information, and only share what’s necessary in each case.
How long we keep it
We keep clinical records for a minimum of eight years from your last treatment, or until you turn 25 if you were under 18 at the time of treatment, in line with recognised professional guidance.
Children’s information
Where we treat a client under 18, we collect and process their information with parental or guardian consent, as set out in our Terms & Conditions.
Your Rights
Whether you’re a client or a website visitor, you have the right to access, correct, or request deletion of your information (except where we’re legally required to retain it), object to or restrict certain processing, and request a copy of your data in a portable format.
